Booking Process

You're All Set 

  • Once you’ve submitted your inquiry form, our booking process officially begins. We’ll carefully review the details of your request to ensure we understand your needs and vision.

  • You can expect a follow-up email from us within 24–48 hours with next steps and any additional questions we may have.

  • If you don’t see a response within that time frame, please be sure to check your spam or promotions folder—sometimes our messages land there by accident. We look forward to connecting with you and starting the journey toward bringing your project to life.

Our Follow Up Promise 

  • Once we confirm availability for your project, you’ll receive a follow-up email that includes your customized media package, contract, and deposit details.

  • Please take the time to read through the contract carefully, as it outlines everything you need to know before we move forward.

  • A deposit is required to officially begin the process; without it, we’re unable to schedule your consultation call or continue with the booking steps.

  • Once your deposit is submitted, we’ll send a confirmation email with a selection of dates and times for your consultation—this will secure your spot on our calendar and move your project into the next phase. We’re excited to take this step with you.

Planning Together 

  • Your consultation will be a phone call during regular business hours, designed to hear your full vision for your project—whether it’s a photoshoot, a media day for social media, or a short film.

  • We want to listen to every idea and imagine how we can create something that truly sets you apart. Each client’s session is unique; no two shoots are ever the same. My goal is to ensure your images or videos reflect your personality, not just a trend or aesthetic.

  • During the consultation, we’ll break down your ideas, refine them, offer guidance and tips, and adjust where needed to create a final product that is tailored entirely to your vision and satisfaction.

Finalize Your Vision 

  • As we finalize your vision, I’ll create and send you a customized mood board that visually represents the concept for your project. This allows you to see the style, colors, and overall feel we’re aiming for, giving you a clear idea of what to expect.

  • The mood board serves as a collaborative guide, and your feedback is welcome to make any adjustments so that the final concept truly reflects your personality, brand, or creative goals.

  • This step ensures that we are fully aligned before your session, setting the stage for a seamless and successful shoot.

Final Payment and Prep For Shoot Day

  • You’ll receive a detailed prep-for-shoot email 72 hours before your session, including final payment reminder, tips, and any information needed to make your experience smooth and enjoyable.

  • The remaining balance of your invoice is due 48 hours prior to your scheduled shoot, as services cannot proceed without full payment.

  • Once your payment is received, you will receive a receipt via email . This ensures that you arrive prepared, confident, and ready to create content that reflects your vision.

Shoot Day 

  • Please plan to arrive 20–30 minutes early to ensure we stay on schedule and maximize your session time.

  • My goal is to provide the best possible experience, built on professionalism, customer care, and a focus on delivering the results you want.

  • By prioritizing your comfort and vision, I ensure that every session is enjoyable, stress-free, and uniquely yours.

The Final Touches 

  • After your session, I’ll send over an unedited selection of images, footage, or media package.

  • This package is a curated preview, not all media will be included, so you can review and decide which items you’d like to provide notes on.

  • Each client is allowed one revision session, during which we’ll make adjustments based on your feedback to ensure the final product aligns perfectly with your vision.

  • Your gallery is now ready!

  • You’ll receive a link to access your online gallery, along with simple instructions on how to download your images or videos.

  • We hope you enjoy reviewing your media and reliving the moments we captured together. Thank you for choosing JMC Media—we’re honored to have been part of bringing your vision to life.

Booking Policies

A 20% deposit is required for all services at the start of the booking process to secure your date and begin planning your project. Once we confirm availability, you’ll receive an email containing your contract, which includes an invoice detailing the deposit amount, instructions for submitting payment, and the remaining balance. Please note that all payments must be completed before any services can be rendered, and no shoot or project will begin without full payment. This ensures a smooth and professional experience from start to finish.

Payment

Time Efficiency
  • Rescheduling Guidelines: We understand that life can be unpredictable. If you need to reschedule your session, please provide at least 24 hours’ notice before your scheduled date. This allows us to adjust our schedule and ensures we can continue to provide a smooth and professional experience for all clients.

  • Cancellation Policy: You may cancel your session with at least 24 hours’ notice. If you have already paid the full balance, we will refund your total payment minus the deposit, provided the timeline is respected. For same-day cancellations, a refund will not be issued; however, you are eligible to reschedule once, and your initial payment will be credited toward the new date. Please note that a second cancellation will result in forfeiture of your payment, and future bookings will no longer be available.

  • Late Arrivals: To ensure your session runs smoothly, a 15-minute grace period is allowed for client arrivals. If you arrive late beyond this window, a $40 fee must be paid before the session can begin. If payment is not submitted, your shoot will not proceed, and your initial payment will be refunded minus the deposit. In the rare event that I, as the provider, am more than 15 minutes late, you will receive a 10% discount on your service. I value a professional relationship built on mutual respect and transparency, and these policies help ensure a fair and smooth experience for both parties.

Turnaround Time 

Our standard turnaround times are designed to ensure the highest quality for every project.

  • Photography Sessions: 5–10 business days for full delivery,

  • Videography Services: 6–8 business days

  • Social Media Packages: 4–8 business days.

These timelines allow for thorough editing, post-production, and quality control. If you have a specific deadline or need faster delivery, add-on options for expedited turnaround are available for select projects to meet your requirements.

Usage and Licensing 

All media included in your final gallery may be used at your discretion across any platform or for any purpose, as long as it is done respectfully and appropriately. When sharing your visuals, my logo must remain visible to maintain proper credit and brand integrity. To preserve the quality and integrity of my work, clients may not screenshot, screen record, or capture media on secondary devices for posting, as this compromises the professional standards and quality I work to uphold. This ensures that both your content and my work remain polished and true to their intended presentation.

Travel

For projects outside of our standard service area, travel fees apply. I charge $0.75 per mile for any location beyond a 45-mile radius from Southeastern NC and the RDU area. This fee helps cover travel time, fuel, and vehicle wear and tear, ensuring that I can provide the same level of professional service no matter the distance. All travel fees will be included in your contract and invoice so there are no surprises.

Studio and Location Guidelines

Studio rentals are included in your session and will be accounted for within your overall project budget—there are no additional upcharges for studio use. For any on-location shoots, I will handle all communication to ensure the space is suitable for photography or filming. If a location requires permits or additional fees, I will review them with you to determine whether they fit within your project budget and provide guidance on whether the investment is worthwhile. My goal is to ensure that every location choice is practical, professional, and aligned with your vision without exceeding your planned budget.

Client and Provider Guidelines

At JMC Media, I am committed to providing every client with an enjoyable, professional, and respectful experience. This can only happen when there is mutual respect between the client and myself. Just as you have chosen to work with me, I reserve the right to respectfully decline or end a session if I feel our visions are not aligned or if I experience disrespect. I will always maintain a warm, professional, and inclusive environment, regardless of race, gender, sexual orientation, or background. In return, I ask that clients respect my art, my time, and me as your provider. My goal is to ensure every session is collaborative, fair, and positive, resulting in the best possible outcome for your project.
